Headway Huddersfield & District volunteer branch secretary role

We are looking for a new committee to join us to help in the day to day running of our local branch looking after brain injury survivors across Calderdale and Kirklees.


Branch secretaries make sure that everyone in their branch is kept up to date with all local activity and gives everyone the change to get involved.


Duties of the Branch Secretary include the following:

 

  • To be responsible for the effective administration of the Branch and the committee.

  • Making all the arrangements for meetings (booking the room, arranging for equipment and refreshments, organising facilities for those with special needs, etc)

  • Taking minutes (or being responsible for them being taken) and circulating draft minutes to all Committee members

  • To act as the main point of communication in all matters both internal and external to the branch.

  • Handle all vital documents pertaining to the Branch and control all aspects of Membership.

  • Liaise with the Branch Chair in the preparation of the agendas for all Branch meetings, ensuring that all the Branch Committee members are provided with the relevant details within a reasonable timescale in advance of these meetings.

  • Keep in touch with Branch Committee members and members.

  • To organise the branch annual general meeting (AGM); ensuring that the meeting arrangements complies with relevant policies and procedures and that all paperwork is completed both prior to and subsequent to the meeting.

  • Attend and record minutes of all General and Committee Meetings and safeguard all papers and documents.

  • To ensure proper organization of Branch election processes

  • Ensure all returns are fully completed, signed, dated and submitted within the determined timescale to Headway UK.

  • To maintain regular contact with Headway UK staff to keep them informed of branch activity and issues

 

 Person specification


The Secretary should have the following qualities.

 

·       Commitment to the organization

·       Willingness to devote time and effort to their duties as Secretary

·       Organisational ability

·       Experience of committee procedures

·       Minute taking experience

·       Good communication and interpersonal skills

·       Impartiality, fairness and the ability to respect confidences.

·       Ability to work effectively as a member of a team

·       Understanding of the legal responsibilities and liabilities of trustees


Full training will be provided for the role of branch secretary. This will include the use of Mailchimp for keeping in touch with our supporters, service users and committee members.
